What to Gather Before You Submit
None of this is required. Every line you can answer removes a round of questions and brings the written quote forward, but a form with four fields filled in still gets a proper response.

How a Commercial Refrigeration Quote Is Built
Why the assessment comes before the number
A commercial refrigeration quote is only as good as the information behind it. The variables that move the figure most are not on any form: the tightest point on the access route, the lowest obstruction across the ceiling, the condition of the slab, where power can realistically be brought from, and how many times a day somebody opens the door.
That is why Greens Coolers assesses before quoting. Ten minutes with a tape measure and a conversation about how the store runs changes the specification more than the dimensions do — and it is the difference between a number that holds and a number that gets revised after the truck arrives.
What arrives in the written quote
The quote sets out the recommended configuration and the reasoning behind it: footprint, temperature duty, construction, door count and type, floor detail, refrigeration package and mounting, and controls. Alongside it sits the scope — what Greens Coolers is responsible for and, explicitly, what it is not.
It also carries the practical elements operators most often find missing elsewhere: the electrical supply requirement, any building works identified, permit coordination where applicable, the delivery and installation window, and how the programme would be sequenced around your trading hours. What drives the cost of a cold room
Footprint and height first, then temperature duty — a freezer is a different build to a cooler, not a colder one, which is why walk-in freezers and walk-in coolers are quoted separately. After that: whether a stock footprint fits, since ready-made units take a shorter route to site than custom-built units panelled to dimension.
Then the site itself. Restricted access, stair or lift routes, restricted loading hours, an unlevel slab, a power supply that has to be extended, out-of-hours installation and removal of an existing room all add work. None of that is visible in a catalogue price, and all of it is identified at assessment stage. Guidance on budgeting is in the resources section.
Comparing quotes properly
Read the exclusions before the price. Two quotations that differ substantially are frequently identical in equipment and different only in what one of them left out — electrical supply, floor preparation, permit coordination or removal of the old installation being the usual candidates.

For sites well outside the GTA the assessment usually starts remotely from plans and photographs, with an attending visit arranged as part of the project programme.
